Signup Instructions for Swims and Jobs at Meets
Our attendance policy exists to provide our coaches and meet planners with an orderly and efficient meet planning process. Please respect everyone's time by following our signup process and rules.
Log in to the wsgators.org. Login is found in the upper right hand corner of the screen.
If you can’t remember your password, click "Forgot your password" to reset your password.
Under the Meets & Events tab, select "Signup Calendar" to sign up for a swim meet.
Job Signup
- Click the green JOB SIGNUP tab and sign up for volunteer shifts (note one parent may sign up both parents for jobs -- scroll down and you’ll see the other parent listed). If you know you and your spouse will not be at this meet, skip to Swimmer Signup.
- Click Save Assignments.
- Click Back to Signup Calendar.
Swimmer Signup
- Find the Meet Event in the Signup Calendar.
- Click the green MEET ENTRY tab, and then click the green Edit tab under your athletes' names.
- For each of your athletes, select an option from the drop down list next to their names.
- (undeclared)
- Attending
- Not Attending
- You can add notes for coaches here in case you want to attend the meet partially or your swimmer has a preference for a certain event. Event Preferences may be ignored. Partial Attendance is discouraged and should be agreed upon with the coach beforehand.
- Click Save to record your choices.
ATTENDANCE RULES
- Each participating swimmer is expected to be signed up in wsgators.org as “Attending” or “Not Attending” before 11pm on the Monday preceding the meet. Until this is done, the swimmer is “Undeclared”.
- Swimmers that are “Undeclared” after the Monday 11pm sign up deadline will not be entered in the meet.
- An Attendance Change after the 11pm Monday deadline is considered a “Late Change”.
- A Late Change that is not due to a medical issue or family emergency is a violation of our attendance rules.
- A Late Change must be communicated to the team by using the “Report Late Change” link that will appear in the calendar event after the Monday attendance deadline. This is the only way to communicate late changes. WhatsApp, Emails, Texts etc. will not be monitored for attendance changes.
- Penalties for missed jobs will apply regardless of swimmer attendance or late change. The parent should perform their job or find a substitute.
- Partial Attendance not planned with coach before the attendance deadline is a violation of our attenance rules.
- Swimmers must check in with the Meet Director at 7am on Meet Morning. Swimmers that are not present at check in may be dropped from relay teams.
- EBSL Championship Eligibility requires participation in a minimum number of meets during the season. In 2024, the minimum is 2 Dual Meets (Time Trials doesn't count).
- Attendance will be considered by coaches when selecting swimmers for EBSL championships.
- Swimmers should attend practice in the week before the meet. Swimers who cannot attend the minimum number of practices should notify the coach. Swimmers who attend fewer than the minimum number of practices without notifying the coach may not be entered into the meet. The practice minimum is 2 during the school year and 3 during the summer. Swimmers who swim for a school team are exempt from the practice minimum during the school team's season.
- Consequences of not following the attendance rules include:
- Verbal warning
- Exclusion from Relay teams in future meets.
- Exclusion from EBSL championships.
